How I Plan for Weddings as a Wedding Photographer
Behind the Lens: A Look at My Process Before Your Big Day
Planning a wedding involves a lot of moving parts—not just for the couple, but for every vendor helping to bring the day to life. As a wedding photographer, my goal is to show up more than prepared so I can focus on what matters most: capturing the real, meaningful moments that tell your story.
Here’s a look at how I plan for each wedding day to ensure a smooth experience and beautiful images you’ll treasure for life.
1. Getting to Know You
Every couple has a unique story, and that’s where my planning starts. I begin with a conversation—whether it's over coffee, a video call, or even a quick email—to get to know you, your personalities, and your vision for the big day.
I also send out a detailed wedding photography questionnaire to collect all the essentials: names, timelines, important relationships, special details, and must-have shots. This ensures that I show up fully prepared and ready to capture what’s most meaningful to you.
2. Scouting the Venue
If I haven’t photographed at your venue before, I’ll take the time to scout it—either in person or virtually. I’m looking for:
The best natural lighting
Creative backdrops for portraits
Indoor and outdoor options (just in case)
Where the sun will be during key moments
If it’s a destination wedding, I’ll arrive early to explore and plan accordingly.
3. Building a Photography Timeline
I work closely with you (and your planner, if you have one) to create a custom wedding photography timeline. This helps ensure we have enough time for:
Getting ready photos
First looks (if you choose one)
Family formals
Couple's portraits
Reception details
My goal is to capture everything you want without adding any stress or rush to your day.
4. Gear Check & Backups
About a week before the wedding, I do a full gear check:
✔ Cameras cleaned and tested
✔ Lenses, flashes, batteries, and memory cards packed
✔ Backup gear on hand
✔ Dual memory card setup for instant backups as I shoot
Weddings are once-in-a-lifetime events—so I never leave anything to chance.
5. Coordinating with Other Vendors
I often touch base with your planner, videographer, or DJ before the big day. When vendors communicate and collaborate, everything runs smoother.
This is especially helpful for timing key moments like the ceremony, sunset portraits, or the first dance.
6. Staying Flexible (and Calm)
No matter how well we plan, weddings can be unpredictable. Weather changes, timelines shift, emotions run high—and that’s totally okay.
One of the most important parts of my job is staying calm under pressure and adjusting on the fly. Sometimes the most magical moments happen when things don’t go exactly to plan.
7. Post-Wedding Workflow
Once your wedding is over, I back up all your images in multiple locations and begin the culling and editing process. I edit every image with care to reflect the true colors and mood of your day—clean, natural, and timeless.
